Media Consent Policy

This policy explains how Kalum Bodywork (referred to as "we," "us," or "our") obtains and uses images, videos, or other visual media ("Media") of vehicles that are on our premises for repair or other services. We use Media primarily for business operations and marketing purposes.

1. Operational Use of Media

We take photographs and videos of every vehicle as part of our standard operating procedure. This operational Media is not used for public marketing and is processed under our Legitimate Interests for the following purposes:

  1. Estimating and Assessment: To create repair estimates, document damage for insurers, and track the repair progress.

  2. Quality Control: To verify the quality of work completed and record the final, finished state of the repair.

  3. Audit and Record-Keeping: To maintain accurate records of every repair job for warranty, legal, and financial purposes.

We retain the right to use this operational Media for any required legal or insurance audit without specific, separate customer consent.

2. Marketing Use of Media

We may wish to use the Media of your repaired vehicle for public marketing purposes, including:

  • Posting "before & after" images on our website and social media (e.g., Instagram, Facebook).

  • Using images in our promotional brochures or print advertising.

  • Using images for display purposes in our reception area or workshop.

3. How We Obtain Consent

You will be asked to provide your explicit consent for marketing use of your vehicle's Media via a checkbox or signature on our job card or repair authorisation form. This process ensures your consent is:

  • Freely Given: You are under no obligation to provide consent to proceed with repairs.

  • Specific: You are consenting only to the use of images of your vehicle.

  • Informed: You understand the Media will be used for public promotional and marketing purposes.

  • Unambiguous: Your consent is a clear, affirmative action (e.g., ticking a box or signing).

4. Withdrawal of Consent

You have the right to withdraw your marketing consent at any time.

  1. Pre-Repair: You can simply choose not to provide consent on the initial form.

  2. Post-Repair: If you previously gave consent but change your mind, you must notify us in writing (email is acceptable) using the contact details below.

Action on Withdrawal:

  • If Media has not yet been published, we will cease all marketing use immediately.

  • If Media has already been published (e.g., on a social media feed), we will take all reasonable steps to remove the Media from our control (e.g., delete the post) within 30 days of receiving your withdrawal request. We cannot control Media that has been shared or saved by third parties (e.g., Facebook users) before your withdrawal.
